THE
IMPORTANT STUFF

Your date and time are officially yours once:

• your booking has been completed through our booking system;

• you've accepted these Terms & Conditions; and

• we've received the required initial payment.

Until all three happen, the date isn't considered reserved.

Quotes, emails, conversations, tours, DMs and enthusiastic declarations that this is absolutely the date do not hold a booking.

Your confirmation will show the package, date, time, location, selected extras and payment schedule that make up your booking.

Your reservation retainer secures your wedding date and allows us to start planning, scheduling our team and reserving the people and resources that make your wedding happen.

Our current package payment structure is:

The Quickie — $1,500
50% reservation retainer: $750

The County Classic — $2,500
50% reservation retainer: $1,250

The County Takeover — $6,000
25% reservation retainer: $1,500

The Whole Damn Thing — $18,000
25% reservation retainer: $4,500

The remaining balance will be divided into scheduled instalments based on the number of months remaining before your wedding, with the final payment due no later than 30 days before your wedding date.

If your wedding is booked close enough to the date that our normal instalment schedule isn't practical, we may require an accelerated payment schedule or payment in full.

All prices are in Canadian dollars and are plus applicable HST unless specifically stated otherwise.

We do not add mandatory service charges or automatic gratuities. We pay our team and partners properly because that shouldn't be your job.

If somebody absolutely knocks your socks off and you'd like to leave them a little something, lovely. Totally optional.

WHAT HAPPENS IF A PAYMENT DOES NOT GO THROUGH

Things happen. Cards expire. Banks get dramatic.

If a scheduled payment fails, we'll let you know and give you an opportunity to fix it.

If an amount remains unpaid 7 days after written notice from us, Neon Chapel may pause planning, purchasing or additional services until the account is brought current.

If an amount remains unpaid 14 days after written notice, Neon Chapel may treat the booking as cancelled by the client and apply the cancellation policy below.

Any costs or commitments that would normally have been made during the period your account was overdue may need to be adjusted once payment is received.

Regardless of any grace period, your account must be paid in full before your wedding takes place.

No paid-in-full, no getting married in the pink chapel. We really don't want to have that conversation either.

CARD ON FILE

Where permitted by our payment processor, you authorize Neon Chapel to charge the payment method associated with your booking for:

• scheduled instalments you have agreed to;

• approved additions or upgrades;

• overtime;

• documented damage;

• missing Neon Chapel property; and

• extraordinary cleaning or other objectively identifiable post-event charges permitted by this agreement.

We won't use your card as an open tab for mystery charges.

If we charge you after the event, we'll provide information explaining what the charge relates to.

CANCELLATIONS

We really hope you never need this section.

But weddings are life, and sometimes life has other plans.

When you book Neon Chapel, we reserve your date, turn away other weddings, begin planning and start committing staff, partners and resources to your event. Because those commitments increase as your wedding gets closer, the amount payable if you cancel increases too.

Cancellation must be made in writing by either member of the couple, or by someone you have previously authorized in writing to make decisions on your behalf.

THE QUICKIE OR THE CHAPEL CLASSIC

If you cancel more than 60 days before your wedding, your reservation retainer is retained.

If you cancel 30–60 days before your wedding, 50% of the total package price is payable.

If you cancel less than 30 days before your wedding, 100% of the total package price is payable.

That means:

• The Quickie: $750 / $750 / $1,500

• The Classic: $1,250 / $1,250 / $2,500

THE COUNTY TAKEOVER & THE WHOLE DAMN THING

If you cancel more than 180 days before your wedding, 25% of the total package price is payable.

If you cancel 90–180 days before your wedding, 50% of the total package price is payable.

If you cancel 30–89 days before your wedding, 75% of the total package price is payable.

If you cancel less than 30 days before your wedding, 100% of the total package price is payable.

That means:

• The Takeover: $1,625 / $3,250 / $4,875 / $6,500

• The Whole Damn Thing: $4,500 / $9,000 / $13,500 / $18,000

Any non-refundable add-ons, custom purchases, personalized items or third-party commitments already made specifically for your wedding are payable in addition to the applicable cancellation amount above.

If you have already paid more than the amount owing under this cancellation policy, we will refund the difference.

Any refund due will be returned to the original payment method where reasonably possible.

We may consider genuinely exceptional circumstances on a case-by-case basis. If we agree to make an exception, it must be confirmed by Neon Chapel in writing.

Being nice humans does not automatically rewrite the contract.

Add-ons are paid 100% at the time they're booked.

Many add-ons require us to reserve a person, purchase a product, schedule additional labour or commit funds to one of our partners. For that reason, add-ons are generally non-refundable once booked.

If an add-on can be cancelled without Neon Chapel losing money or becoming responsible for a supplier commitment, we may choose to offer a refund, credit or substitution.

Custom, personalized, specially ordered or already-performed services are non-refundable except where required by law.

If Neon Chapel itself is unable to provide an add-on you've purchased and we cannot provide a reasonably comparable replacement, we'll refund the amount paid for that affected add-on.

Rescheduling and cancelling are not the same thing.

You may request one date change, subject to availability.

A date change requested more than 30 days before your wedding can normally be made without a Neon Chapel rescheduling fee provided:

• the replacement date is available;

• the new wedding takes place within 12 months of the original wedding date;

• your package is not downgraded;

• any third-party or vendor change fees are paid;

• any custom or perishable costs already incurred are paid; and

• any increase in pricing applicable to the replacement date is paid.

If the same package costs more on the new date, you'll pay the difference.

If it costs less, your existing contracted package value remains unchanged.

A rescheduling request made within 30 days of your wedding will be considered individually and may be treated as a cancellation depending on the commitments already made for your event.

A wedding may only be rescheduled once unless Neon Chapel agrees otherwise in writing.

If a rescheduled wedding is later cancelled, the applicable cancellation amount will be calculated using the original wedding date or the new wedding date, whichever results in the higher cancellation amount.

No time travelling your wedding booking around the calendar to escape the cancellation policy. Nice try.

You can absolutely make your wedding bigger, stranger, prettier or more dramatic.

Upgrades and additions are subject to availability and are charged at the pricing in effect when they're added.

Your package cannot be downgraded after booking and your contracted numbers cannot be reduced.

If you decide not to use something included in your package, you're welcome to leave it out, but that does not reduce the package price.

Where possible, we may allow unused value to be redirected toward another Neon Chapel service or add-on, but this is entirely subject to availability and our written approval.

TIME IS TIME

Your booking begins and ends at the time shown on your confirmation.

That remains true if you or your guests arrive late.

We run multiple events and have staff, vendors and other couples working around carefully scheduled timelines, so a late arrival cannot automatically push the end of your booking later.

If you're late, we'll do our very best to make the wedding happen within the time remaining. That may mean shortening or adjusting parts of the experience.

If you're so late that the legal ceremony or booked services can no longer reasonably be performed, those services may be forfeited without refund.

Please don't make us perform your vows like an auctioneer. Come on time.

OVERTIME

If your wedding runs beyond the contracted end time because of you, your guests or vendors you've brought in, additional charges may apply.

Neon Chapel may charge the payment method on file for reasonably calculated overtime, additional staffing and other direct costs created by the overrun.

Any overtime must be approved by Neon Chapel and is always subject to our schedule.

Staying late isn't guaranteed simply because you're willing to pay for it.

Your package will specify the number of guests included.

Final guest numbers are due 14 days before the wedding.

Our 60 person maximum occupancy isn't a suggestion. It's a fire, licensing and safety requirement.

Vendors count toward occupancy.

If you bring an outside photographer, videographer, florist or other vendor who remains for the entire event, they will also be counted toward your guest count for package and capacity purposes unless we agree otherwise.

We reserve the right to refuse admission to additional guests if allowing them in would exceed the contracted guest count or lawful venue capacity.

No amount of but she's my cousin overrides the fire code.

Children are very welcome at Neon Chapel.

Babies. Toddlers. Tiny flower people. Moody teenagers. Bring them.

Parents and guardians remain responsible for supervising children attending the wedding.

We may also be able to connect you with our partner wedding nanny service and, depending on your event, provide access to a separate area where children can hang out with their caregiver.

Any childcare arrangement is a separate service and must be booked in advance.

Pets are welcome too.

Please tell us beforehand if your four-legged wedding party member is attending so we can make sure the setup works.

You remain responsible for your pet's behaviour, supervision and cleanup.

Service animals will be accommodated in accordance with applicable Ontario accessibility requirements.

YOUR MARRIAGE LICENCE

For us to legally marry you in Ontario, you are responsible for arriving with a valid Ontario marriage licence and any identification or documentation legally required for your ceremony.

Ontario marriage licences are generally valid for three months from the date they're issued. Both parties, the officiant and two witnesses must sign the marriage documentation after the ceremony.

If you don't have the documentation legally required to marry you, we cannot legally solemnize the marriage.

We can still throw one hell of a symbolic ceremony.

Missing or incorrect legal documentation does not automatically entitle you to a refund for venue time, planning, staffing or other services that are still provided.

THE LEGAL PAPERWORK

Our authorized officiant will complete the responsibilities required of them under Ontario law and submit the applicable marriage documentation following your ceremony.

Neon Chapel does not issue your official marriage certificate and cannot control government processing times.

Your Record of Solemnization is not the same thing as the official marriage certificate issued by the Province.

You are responsible for providing correct legal names and information.

If you give us incorrect information, we cannot be responsible for errors that result from it.

Ontario marriages require two witnesses.

You can bring your own.

If you need us to provide witnesses, that's no problem, but tell us ahead of time so we can make sure the necessary humans are available.

We'll guide you through ceremony choices as part of our planning process.

We've deliberately designed this experience so planning doesn't feel like homework.

You'll be asked for vows, music, ceremony preferences and other details through our onboarding system by the applicable deadlines.

We will make reasonable efforts to accommodate requests, but we can't promise that absolutely every creative, musical, logistical or technical request can be accommodated.

We may also refuse ceremony content that is unlawful, threatening, hateful or unsafe.

FINAL NUMBERS & DIETARIES

Final guest numbers and dietary requirements must be submitted at least 14 days before the wedding.

After that date, reductions in guest count do not reduce the contracted price.

We will make reasonable efforts to accommodate dietary needs disclosed on time.

Neon Chapel does not operate an allergen-free facility.

We do not intentionally use nuts in our kitchen; however, ingredients and products we purchase may have been manufactured, prepared or transported in facilities where nuts or other allergens are present.

We therefore cannot guarantee the complete absence of nuts, allergens or cross-contact.

Guests with severe allergies should make decisions appropriate to their individual medical needs.

OUTSIDE FOOD

Outside meals, snacks and beverages are not permitted unless we approve them in writing.

Wedding cakes, cupcakes and similar celebration desserts are welcome provided they come from a commercial, appropriately insured food business.

Food provided as part of your wedding is intended to be consumed on the premises. If you'd like to take perishable food away after the event, please ask us first. Depending on the food involved, we may require a food-safety acknowledgement before releasing it to you.

ALCOHOL

Alcohol service operates under Ontario law and the conditions of our liquor licence.

No outside alcohol may be brought onto the licensed premises unless specifically permitted by law and approved by Neon Chapel.

We reserve the right to:

• request government-issued identification;

• refuse alcohol service to anyone who is underage;

• refuse alcohol service to anyone who appears intoxicated;

• stop service to an individual;

• remove alcohol brought onto the premises without permission;

• end bar service where required for safety or licensing reasons; and

• remove anyone behaving dangerously or aggressively.

Nobody receives a refund because the bartender stopped serving them after they decided tequila was a personality.

We may also encourage or require a guest who appears impaired not to drive from the property. Where reasonably possible, we'll help them identify a taxi, rideshare, designated driver or other safe way home.

Because responsible beverage service shouldn't end at “we stopped pouring.”

DÉCOR
Neon Chapel has a whole personality of its own, but you're welcome to make it yours too.

You may bring additional décor with prior approval.

We don't want a long list of joy-killing rules, so our basic standard is simple:

nothing dangerous, permanently damaging, illegal or impossible to clean up.

Please speak with us before bringing anything involving:

• open flame;

• adhesives;

• installations attached to walls, ceilings or fixtures;

• large structures;

• electrical equipment;

• smoke or pyrotechnic effects; or

• anything else that may affect building safety.

Confetti and fog effects are available through Neon Chapel and must be coordinated with us because of cleaning, alarms, equipment and venue operations.

OUR DÉCOR WILL EVOLVE

This one's important.

Neon Chapel is a living, evolving venue.

Furniture changes. Art moves. Drapery changes. Disco balls multiply.

Photos on our website and social media are representative of the overall aesthetic and experience, but are not a guarantee that every individual décor item, floral piece, prop, furnishing, colour treatment or styling element will remain exactly the same on your wedding date.

We reserve the right to refresh, improve, replace, remove or substitute décor and furnishings over time.

Where something is specifically listed as a contracted inclusion, we will provide that item or a reasonably comparable substitute if necessary.

Where florals are included or purchased through Neon Chapel, you'll select from the styles or palettes offered for your package or can choose to give our florist creative freedom.

Flowers are seasonal and natural products.

Exact varieties, shades and availability cannot be guaranteed.

Our florist may make appropriate substitutions while maintaining the overall style, scale and feeling of your selection.

VENDORS WE BOOK FOR YOU

When a service is sold directly to you by Neon Chapel as part of your package or as a Neon Chapel add-on, we'll manage that supplier relationship.

We may use qualified employees, contractors and partner vendors to provide portions of your wedding.

If a scheduled provider becomes unavailable, we may substitute another appropriately qualified provider.

The fact that the person behind the camera, bouquet or playlist changes does not automatically mean the contracted service has disappeared.

OUTSIDE PHOTOGRAPHERS, VIDEO, FLORISTS & CAKES

You're welcome to bring your own photographer, videographer, florist or cake supplier.

That said, our in-house and partner services are designed specifically around Neon Chapel's lighting, timing, layout and wedding format, which usually means:

• better package pricing;

• no additional vendor coordination headaches;

• suppliers who already know the venue;

• no learning curve on event day; and

• services designed to fit the exact length of your package.

Outside vendors must comply with our venue rules.

Vendor access before your booked event time must be arranged with us in advance and is considered on a case-by-case basis.

Outside vendors are responsible for bringing any equipment, staffing, insurance, licences or permits legally required to perform their services.

Neon Chapel may refuse access to a vendor whose equipment, conduct or proposed setup is unsafe, unlawful or materially inconsistent with our venue requirements.

Anything brought into Neon Chapel by you or an outside vendor must be removed at the end of your booked event time unless we've approved another arrangement in writing.

Please don't leave us with half an arch, 37 bud vases and somebody's homemade welcome sign and disappear into the night.

If substantial items are left behind and require removal, storage or disposal, reasonable costs may be charged.

PHOTOGRAPHY AT YOUR WEDDING

Personal photography and video are generally welcome unless they interfere with the ceremony, safety or another contracted service.

Professional photographers and videographers must follow reasonable instructions from Neon Chapel staff.

If your wedding includes purchased photography or videography, the specific inclusions and delivery terms for that service will form part of the booking details provided to you.

USING YOUR WEDDING IN OUR MARKETING

We love showing real Neon Chapel weddings.

But we won't hide a sweeping promotional release in paragraph 84 of a contract and hope you don't notice.

Permission for Neon Chapel to use identifiable images or video of you for advertising, social media or promotional purposes will be handled through a separate media consent.

You can decline that consent without losing your wedding booking.

SECURITY CAMERAS

Security cameras may operate in appropriate areas of the property for security, loss prevention, safety and incident investigation.

Cameras will not be placed in washrooms or other areas where there is a reasonable expectation of privacy.

Information collected through security systems will be handled in accordance with applicable privacy requirements.

GUEST BEHAVIOUR

We want your wedding to be loud, joyful, ridiculous, emotional and memorable.

We do not require it to be restrained.

We do require it to be safe.

Neon Chapel may refuse service or remove anyone engaging in:

• violence or threats;

• harassment;

• hate speech or discriminatory abuse;

• sexual harassment;

• serious intoxication;

• deliberate property damage;

• unsafe behaviour;

• illegal activity; or

• substantial interference with our staff, vendors, neighbours or other events.

Where reasonably possible, we'll remove the problem rather than end the party.

If the circumstances make it unsafe or unlawful to continue, however, Neon Chapel may stop the event.

No refund is owed for services lost because of serious misconduct by the couple, their guests or vendors.

DAMAGE & EXTRAORDINARY CLEANING

You are responsible for damage caused by you, your guests and vendors you bring into the venue, excluding ordinary wear and tear.

You are also responsible for extraordinary cleaning caused by your event.

Examples may include:

• intentional damage;

• prohibited confetti or glitter;

• smoking indoors;

• bodily fluids;

• excessive garbage;

• food or drink deliberately thrown or spread through the venue; or

• damage to décor, equipment, furniture or fixtures.

Where reasonably necessary, Neon Chapel may charge the payment method on file for actual repair, replacement, extraordinary cleaning or related labour costs.

We will not use this as a mystery-fee machine. Charges must relate to an identifiable cost resulting from the event.

PERSONAL BELONGINGS & WEDDING GIFTS

You are responsible for personal property brought into the venue.

That includes phones, purses, coats, decorations, cards, gifts and cash.

All personal items should be removed at the end of your booking unless we've agreed otherwise.

Neon Chapel isn't responsible for loss, theft or damage to personal property except where liability cannot legally be excluded.

We have limited on-site parking for approximately 10 vehicles, available on a first-come, first-served basis unless we've specifically arranged something different for your event.

The good news: there's also plenty of street and public parking in and around Wellington, so your guests have lots of options nearby.

If parking or getting everyone home starts feeling like a production, we have friends. We're happy to point you toward local transportation, shuttle and driver options.

Vehicles and their contents remain the responsibility of their owners.

And if all else fails, tell us.

We know people.

THINGS OUTSIDE EVERYONE'S CONTROL

Sometimes something genuinely beyond either party's reasonable control makes an event impossible or unsafe.

That might include:

• fire;

• flood;

• severe weather;

• natural disaster;

• government order;

• public emergency;

• prolonged utility failure;

• mandatory building closure;

• labour disruption;

• epidemic or public-health restriction;

• civil emergency; or

• another comparable event outside reasonable control.

If that happens, our first choice will usually be to reschedule the wedding.

Any amounts already paid will be applied to the rescheduled booking, subject to unavoidable third-party costs or material changes in scope.

If rescheduling is genuinely impossible, we'll work through the appropriate refund or credit based on services already performed, costs already reasonably incurred and your rights under applicable law.

WEATHER & TRAVEL

Wellington is beautiful.

Wellington is also in Ontario.

Weather, road conditions, traffic, transportation problems, accommodation issues or guest travel delays do not automatically mean the venue is unable to perform your wedding.

Unless Neon Chapel itself cannot safely or legally operate, ordinary cancellation and rescheduling rules apply.

POWER, INTERNET & TECHNOLOGY

Weddings contain technology.

Technology occasionally behaves like technology.

If there is a temporary equipment, internet, lighting, audio, power or other technical failure, we'll make reasonable efforts to fix it, replace it or adapt the event.

A minor interruption that does not materially prevent us from delivering your wedding does not entitle you to a full refund.

If a technical problem causes a specific purchased service to fail materially, we'll determine an appropriate remedy relating to that affected service.

IF WE HAVE TO CANCEL

If Neon Chapel has to cancel your wedding for a reason within our reasonable control and cannot provide an acceptable replacement date or equivalent service, we'll refund amounts paid for the Neon Chapel services we are unable to provide.

To the extent permitted by law, Neon Chapel is not responsible for consequential expenses you incur with unrelated third parties such as travel, clothing, hotels or other wedding vendors.

DEADLINES

Your onboarding process will tell you when we need things like:

• final guest numbers;

• dietaries;

• ceremony information;

• music;

• witness requirements;

• floral selections;

• food selections;

• add-ons; and

• other planning choices.

If you miss a deadline, we may proceed using reasonable default selections or the information already available rather than delaying the event.

Missing a planning deadline does not create a right to a refund.

WHO CAN MAKE CHANGES

Either member of the couple can communicate with us about the booking.

You may also authorize another person in writing to make decisions on your behalf.

Unless you've told us otherwise in writing, we are entitled to rely on instructions received from either member of the couple.

Major changes to the date, package, price, guest count or scope are only effective once confirmed in writing by Neon Chapel.

Your aunt telling our bartender that you've decided to add an hour does not amend the contract.

COMMUNICATION

Official booking changes should happen through our designated booking system, client portal or email.

Social media messages, verbal conversations and communications with individual vendors or staff do not change this agreement unless Neon Chapel confirms the change in writing.

PROMOTIONS & DISCOUNTS

Promotions, offers and discount codes:

• have no cash value;

• may have eligibility or booking-date restrictions;

• cannot normally be combined unless stated otherwise; and

• cannot be applied retroactively to an existing booking unless we specifically agree.

TRANSFERRING YOUR BOOKING

Your wedding booking can't be sold, transferred or assigned to another couple without our written approval.

CHARGEBACKS & PAYMENT DISPUTES

If you believe we've made a billing error, please contact us first so we have an opportunity to investigate and resolve it.

Nothing in these Terms removes any legitimate rights you have through your payment provider or applicable consumer-protection law.

However, initiating a chargeback does not automatically cancel amounts that are legitimately owing under this agreement.

REVIEWS, COMPLAINTS & NON-DISPARAGEMENT

If something goes wrong, tell us.

If a concern can reasonably be fixed while your wedding is happening, please give us the opportunity to fix it.

Both you and Neon Chapel agree not to knowingly publish or communicate false, defamatory or materially misleading statements about the other arising from the booking.

Nothing in this section prevents you from:

• leaving an honest review;

• expressing a genuinely held opinion;

• making a truthful statement about your experience;

• seeking legal advice;

• pursuing a legal claim; or

• making a report or complaint to a regulator, government body or law-enforcement agency.

We don't need everybody to say we're perfect.

We do expect everybody to tell the truth.

LIMITATION OF LIABILITY

To the extent permitted by law, Neon Chapel will not be liable for indirect, incidental, special or consequential losses arising from your booking.

Where Neon Chapel is legally liable in connection with the agreement, our aggregate contractual liability will generally not exceed the amount you actually paid Neon Chapel for the affected services, except where such a limitation is prohibited by law.

Nothing in these Terms limits any consumer right or liability that cannot legally be waived or excluded.

YOUR RESPONSIBILITY FOR YOUR PEOPLE

You are responsible for losses, damage or claims caused by your own unlawful or negligent conduct and, where legally appropriate, the conduct of guests or outside vendors under your control.

You are not responsible for losses caused solely by Neon Chapel's own negligence or unlawful conduct.

OUR REQUESTS & YOUR REQUESTS

We'll make reasonable efforts to accommodate special requests.

But unless something is specifically included in your confirmed booking, a request isn't a contractual guarantee.

If we can't do something, we'll tell you.

If we say yes, we'll put important changes in writing.

Your booking confirmation, package inclusions, selected add-ons, these Terms & Conditions and any written amendments accepted by both parties together form your agreement with Neon Chapel Incorporated.

They replace previous proposals, discussions, emails or representations concerning those same services unless we've specifically incorporated something into your booking.

Small logistical adjustments may be confirmed through the client portal or email.

Material changes must be agreed to by both parties in writing.

If one part of this agreement is found invalid or unenforceable, the rest remains in effect.

If either of us chooses not to enforce a provision once, that doesn't mean the provision disappears forever.

ONTARIO LAW

This agreement is governed by the laws of Ontario and the applicable federal laws of Canada.

If a dispute arises, both parties agree to first make a reasonable good-faith attempt to resolve it directly.

Where appropriate, the parties may mutually agree to mediation.

If court proceedings become necessary, they will be brought before a court of competent jurisdiction in Ontario, subject to any consumer right that requires otherwise.

Each party will generally be responsible for its own legal costs except where a court or applicable law determines otherwise.

ELECTRONIC ACCEPTANCE

By checking the acceptance box and completing your booking, you confirm that:

• you are at least 18 years old;

• you are authorized to make the booking;

• you had an opportunity to review your booking details and these Terms;

• you had an opportunity to correct booking errors before paying;

• you understand the payment, cancellation and rescheduling rules; and

• you agree to be legally bound by this agreement.

Electronic acceptance has the same effect as signing a paper agreement where permitted by law.

A copy of your booking confirmation and applicable agreement will be provided electronically following booking.

THE VERSION THAT APPLIES TO YOU

These Terms may change as Neon Chapel grows.

The version that applies to your wedding is the version accepted when you booked, together with any later changes that both parties agree to in writing.
